10 Tips and Tricks For Getting the Most Out of OnePlace

The OnePlace team is dedicated to using OnePlace to help organize our professional and personal lives. And if we weren’t, what kind of advocates would we be for our small business solution?

Since joining the team, I have become increasingly aware of the intricacies of OnePlace and all the cool features that make this solution great. I want to take this time to point out some of these great features in OnePlace to aid some of our current customers in using OnePlace to its fullest extent.


1. Team Pulse
As the team gets larger, there is a lot of activity happening in OnePlace that may need to be reviewed. The Team Pulse feature is updated every time a team member begins and completes a task, giving supervisors or project managers a heads up as to which tasks are being accomplished and which have yet to be started. Team Pulse can also be used as a Twitter-like chat function, allowing for teammates to post status updates, greetings and questions to team members.

2. The OnePlace Dashboard
Pulling information directly from Team Pulse, the OnePlace Dashboard is a desktop application that populates with Team Pulse activity. The Dashboard allows you to keep up to date on team activity in OnePlace without having a browser window open.

3. Dedicate a Screen (or a tab) to OnePlace
Because OnePlace is automatically refreshed every minute, it benefits all users to have OnePlace open all day to see current team activity. Why not dedicate a tab in your browser to OnePlace? You can easily flip back and forth between OnePlace and other work this way. Also, if you have a laptop, go ahead and hook up an external monitor to work on one screen and keep OnePlace open on another. This will give you a “heads up” display for your daily schedule as well as reviewing other’s work.

4. Discussions for Collaboration
Each Workplace and Project has the ability to create discussions and invite pertinent team members to participate in them. Discussions can be created around a concept, a section of your business or a client, and team members can collaborate on ideas and ask questions directly to each other. The OnePlace team posts to discussions multiple times a day to keep track of new ideas and developments - and this is by far my favorite feature of OnePlace.

5. Take OnePlace WIth You
OnePlace is available on many Smartphones, including the iPhone. By accessing OnePlace on your phone, you can be kept in the loop while out of the office, over the weekend or on vacation. You can also use OnePlace to organize your personal life and keep track of obligations and activities with your family. 6. Lists Keep You Organized
Within each Workplace and Project, OnePlace allows users to create Lists to keep organized. With eight different types of lists such as checklists, bookmarks, ideas and a shopping list, OnePlace Lists can keep track of all items in your professional and personal life.

7. Email OnePlace
Because some customers are still using email as a main form of communication and other users like to email themselves notes and tasks, OnePlace email integration makes it easier to move emails directly into the system. In your Personal Preferences, you will find addresses to email in order to send yourself a task, a note, an inbasket notification and a team pulse. Now you can forward over an email from your inbox directly as a new task, or email your inbasket whenever an idea occurs. You can also receive system notification email from OnePlace to help keep you in the loop of OnePlace activity via your inbox.

8. Clean Up Your Inbasket
The OnePlace Inbasket can become the central hub to find updates and information regarding tasks, projects and team members in OnePlace. Because notifications can clog up your Inbasket, we’ve included the Inbasket Process function on all notifications. By using this, you can upgrade your notifications to a project or task, and work to keep your Inbasket clear.

9. Subscribing to Comments
Commenting on projects, tasks and files is a function that is used widely for asking questions, discussing revisions and keeping updated on task completion. Now, rather than just the project, task or file creator being subscribed to comments, the creator can subscribe relevant team members to the comments. Project managers and supervisors can also subscribe themselves to task and file comments for which they’d like updates. This feature makes it easy for all team members to be aware of others’ questions and activity.

10. Cross-Referencing via Links
Because small business teams keep a lot of information stored in OnePlace, we've made it easy to cross-preference different items in OnePlace by using internal data links. These links can be placed in comments and notes to link to relevant pieces of information, such as past discussions, tasks or files. These links make it easy to navigate to other area of OnePlace that are referenced. OnePlace users can also use external links to help others navigate directly to a project, task, file or discussion. These external links give each piece of information in OnePlace its own unique URL. With these links, users can quickly access OnePlace information without being on the homepage all day.

Our goal is to aid current and prospective customers in using OnePlace as the one place in which to collaborate and organize their lives. We want to ensure our solution works across small business teams as well as for individuals who may need a little help in being more efficient.
