Navigating a Sea of Workplaces

Posted by Denis Ahearn on September 17, 2008

If you've been using OnePlace for some time, or have really gotten into using workplaces to help your team get organized, you may have built up large number of workplaces in the workplace navigator on your Home page. Here are some tips for helping you manage a large number of worklplaces, so you can quickly find the workplace you are interested in.

Use workplace favorites

Did you know that you can flag your favorite workplaces and then tell the navigator to only show your favorites? It's a great way to easily find workplaces that are currently important to you. To flag a workplace as a favorite, hover over the workplace title, and click the heart icon with a green "+" on it. When a workplace falls out of favor, hover over the title of the workplace again and click the heart icon with a small "-" on it to remove it from your favorites. OnePlace will always show favorite workplaces at the top of the navigator, regardless of which account the workplace belongs to. To only see your favorite workplaces in the workplace navigator, choose the "Favorites" option in the Account drop down. You can also see your favorite workplaces by grouping your workplaces. To do this, click the "Group Workplaces" button in the Workplaces title bar (far right button in the title bar). Your favorite workplaces will be shown in a "Favorites" group at the top of the navigator.

Filter your workplaces

As mentioned above, you can use the Account filter in the Workplaces title bar to only show workplaces from a specific account or tagged with a specific category. So, if you know that you want to work with one of your client workplaces, and you've applied a "Clients" category to each of those workplaces, simply choose the "Clients" option from the Accounts filter to show only those workplaces.

Use the workplaces popup menu to quickly jump to a workplace

Another way to quickly jump to a workplace is to use the workplace pop up menu on the Home page. You can launch this menu by clicking on either the Workplaces title or on the small down arrow icon to the right of this title (in the Workplaces title bar). This menu displays all your workplaces, grouped by account and category. Simply click on the workplace you want to go to.

Use breadcrumbs

If you are drilled into a workplace, you can easily jump to any other workplace by using the breadcumbs at the top of the page. If you look at the breadcrumbs, you'll see the name of the current workplace you are in listed as a breadcrumb. To the right of the workplace name is a down arrow icon. By clicking on this icon, you'll get a pop up menu listing all your other workplaces, grouped by account/category. Just click on the workplace you want to switch to.

Collapse workplaces groups you're not using

If you group your workplaces in the navigator, you can collapse (hide) an entire group by clicking on the gray down arrow icon located to the left of the group title. OnePlace will remember which groups you have collapsed so that if you leave the Home page, when you return, the navigator will be in the same state you left it. By collapsing groups you don't use frequently, you can make it much easier to find the workplaces you do use.

Hopefully one or more of these tips help you manage and navigate about your workplaces.
